This Privacy Policy explains how ZENTAI Martial Arts ("ZENTAI," "we," "us," or "our") collects, uses, stores, and protects information when we manage communications on our own Instagram and Facebook accounts using the ZENTAI Social Lead System (the "System").

This policy applies to people who comment on, send direct messages to, or otherwise interact with ZENTAI's official Instagram and Facebook accounts.

1. Who we are

ZENTAI Martial Arts is a leadership development organization operating martial arts programs across 5 locations in Belleville, Clifton, Hackensack, North Arlington, New Jersey, and Licey, Dominican Republic. We use the System to respond to and manage the comments and direct messages we receive on our own social media accounts, and to help prospective students reach us by phone or text.

2. What information we collect

When you interact with ZENTAI's Instagram or Facebook accounts, we may collect and process:

• Your public username or display name on the platform
• The content of comments you post on our posts
• The content of direct messages you send to our accounts
• A platform-provided identifier that lets us recognize your messages to our account
• The date and time of your message or comment
• A link to the original post or conversation

We only collect information you voluntarily provide by choosing to comment on or message our accounts. We do not purchase contact lists, scrape data, or collect information from people who have not interacted with us.

3. How we use your information

We use this information solely to:

• Read and respond to your comments and messages
• Answer questions about our programs, schedules, and pricing
• Direct you to contact us by phone or text at 201-431-5425 for enrollment, billing, or other inquiries
• Improve the quality and consistency of our responses over time
• Moderate our social media accounts, including hiding or removing spam, abusive, or harassing content and blocking users who violate platform rules

We may use automated tools, including artificial intelligence, to help draft and organize responses. A member of our team reviews responses before they are sent during our standard operations. We do not use your information to make automated decisions that produce legal or similarly significant effects about you.

4. Automated and AI-assisted replies

The System uses artificial intelligence to help classify incoming messages and draft suggested replies in ZENTAI's voice. These drafts are reviewed and approved by ZENTAI staff before being sent, except for a limited set of routine, low-risk replies that may be sent automatically after a testing period. You can always reach a human by replying to any message or by calling or texting 201-431-5425.

You may opt out of automated replies at any time by telling us in the conversation (for example, replying "stop" or "speak to a person"), and a member of our team will handle your message directly.

5. How we share information

We do not sell your personal information. We share information only with:

• Meta Platforms, Inc. — because your interactions occur on Instagram and Facebook, which are operated by Meta and governed by Meta's own privacy policy.
• Service providers that help us operate the System — including our application hosting provider and the AI provider that helps draft replies. These providers process information only on our behalf and under confidentiality obligations, and are not permitted to use it for their own purposes.
• Legal and safety reasons — if required by law, or to protect the rights, safety, or property of ZENTAI, our students, or the public.

We do not transfer your information to any party except as described above.

6. How long we keep your information

We keep message and comment data only as long as needed to respond to you and to maintain our records, and no longer than 12 months after your last interaction, unless a longer period is required by law.

Deletion of deleted content: If you delete a comment or message on Instagram or Facebook, we will delete our stored copy of that content within 30 days, in line with Meta's platform requirements.

Depending on where you live, you may have the right to:

• Request a copy of the personal information we hold about you
• Request that we correct or delete your information
• Object to or restrict certain processing
• Opt out of automated replies (see Section 4)

To exercise any of these rights, email allen@zentai.us or call/text 201-431-5425. We will respond within the timeframe required by applicable law (generally within 30 days). You may also manage or delete your interactions directly within Instagram or Facebook at any time.

8. Children's privacy

ZENTAI serves families, and some of our programs are for children. However, our social media accounts and the System are intended for interactions with parents, guardians, and adults. We do not knowingly collect personal information directly from children under 13 through our social media accounts. If you believe a child has sent us personal information, please contact us at allen@zentai.us and we will delete it promptly.

9. Data security

We use reasonable technical and organizational measures to protect your information, including access controls limiting System access to authorized ZENTAI staff, encrypted connections, and secure credential storage. No method of transmission or storage is completely secure, but we work to protect your information and to promptly address any issues.

10. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and post the current version at this URL. We retain prior versions of this policy and will provide them upon request.
